Privacy Policy

Last updated: October 13, 2026

This Privacy Policy explains how Youtiko ("Youtiko", "we", "us") collects, uses and protects personal data when you visit youtiko.com or use the Youtiko platform and apps (the "Service").

1. Our two roles

  • Controller: for data about our own customers and visitors (account details, billing, website visits, support requests).
  • Processor: for the data our customers store in Youtiko about their own customers, such as contacts, orders, conversations, form submissions and course learners ("Customer Data"). We process Customer Data only to provide the Service and on our customer's instructions. If you are one of our customer's contacts, please contact that business first about your data.

2. Data we collect

  • Account data: name, email address, phone number, business name and the settings of your workspace.
  • Customer Data: everything you or your team add to the Service or connect to it (for example records, messages from connected channels, files and form submissions).
  • Usage and device data: log data such as IP address, browser type, pages and features used, and error reports.
  • Billing data: plan, invoices and payment status. Card or bank details are handled by our payment providers; we do not store full card numbers.
  • Communications: messages you send us, waitlist and contact form requests.

3. How we use data

  • To provide, maintain and secure the Service, including AI features and workflows you turn on.
  • To manage accounts, subscriptions, billing and support.
  • To send service messages (for example security notices, billing and product changes).
  • To understand usage and improve the Service, using aggregated or de-identified data where possible.
  • To comply with the law and to prevent fraud and abuse.

We do not sell personal data, and we do not use Customer Data to advertise to anyone.

4. AI features

When you use AI features (such as AI agents, replies or workflow steps), the content needed for that task is sent to a third-party AI model provider (for example Anthropic, OpenAI or Google) to generate the result. We send only what the task needs, and we do not use Customer Data to train AI models. If you connect your own AI provider key, that provider's terms also apply to those requests.

5. Sharing

We share personal data only with:

  • Service providers that help us run the Service, such as cloud hosting, email and messaging delivery, payment processing and AI model providers, under contracts that limit their use of the data.
  • Integrations you connect (for example Facebook, Zalo, Telegram or payment gateways), as needed to run them.
  • Authorities, when required by law or to protect the rights and safety of our users and the public.
  • A successor, if Youtiko is involved in a merger, acquisition or sale of assets, subject to this Policy.

6. Retention

We keep account data and Customer Data while your workspace is active. If a trial or subscription ends without payment, the workspace becomes read-only and data is not deleted straight away. You can ask us to delete your workspace at any time; we then delete or anonymise its data within a reasonable period, except what we must keep by law (for example invoices) and short-lived backups.

7. Security

We protect data with encryption in transit, encryption at rest for stored secrets such as API keys and access tokens, access controls that keep each workspace's data separate, and limited staff access. No system is perfectly secure, so please use a strong password and tell us at once if you suspect unauthorised access.

8. International transfers

Youtiko and its providers may process data in countries other than yours. When we do, we use appropriate safeguards required by applicable law.

9. Your rights

Depending on where you live, you may have the right to access, correct, delete or export your personal data, to object to or restrict some processing, and to withdraw consent. To use these rights, email [email protected]. You may also complain to your local data protection authority.

10. Cookies

Our website uses only cookies needed to run it, such as remembering your language choice and keeping you signed in to the app. We will update this Policy before adding analytics or advertising cookies.

11. Children

The Service is for businesses and is not directed to children under 16.

12. Changes

We may update this Policy. We will post the new version here and change the date above; for important changes we will also notify account owners by email.

13. Contact
